Instructions for First Time Users

If you are a first time user with a request to enter your data for an employer, you need to create a member account

  1. If you received a request/notification that contains a link that looks like:
           
    "  Go to www.canadahse.com/register.php?x=891206 to activate your membership now. "
    Click on the link, or type it into your internet browser. Enter the entire code exactly as it appears on your letter.
     
  2. Or, if you are responding to an older request/notification that contains an "Activation Code", go to Home and click the New Membership button. Enter the Activation where required.
     
  3. Follow the instructions on the form. The system will take you through a series of steps to register and activate your member account. If you miss a required entry, it will point it out to you before you proceed to the next step.

The system will now guide you through 8 steps to complete the mandatory information. Detailed instructions are provided on each page.

  1. Corporate Information – basic company information. Use the Edit button to add or delete names.
  2. Directory Listing – Enter what your company does; what industries, services sectors and regions you operate in.  The producers use those criteria to search for the companies that they want to add to their preferred contractor lists.
  3. HSE Profile – Choose the questionnaire(s) to fill out. Unless you are instructed otherwise, you need to fill out the Oil and Gas Contractor- Industry Standard. In most cases, that question set and others will be included automatically based on the requirements of  your permitted clients. Describe your business, # of employees, and select the provinces and industries in which you have a WCB account, and select the WCB codes that apply.
  4. Enter HSE data -  This is the industry standard questionnaire. All questions must be answered; Most are yes/no. If a question doesn’t apply to your business, then the answer should be “no”, "none" or zero.
  5. Upload Attachments - You will be required to provide a set of supporting documents. The system provides the means to fax the documents using special bar-coded cover pages that will route the documents into your account, or you can opt to upload the files if you have them in PDF format.
  6. Permission Profile – Applicable only to full members. This enables you to specify any or all of the producers that you will allow (or disallow) to access your HSE data. You can see who is currently requesting your data, and who among them have been granted access. Any time you alter your permission profile to include a new producer, you need to review your questionnaire and attachments for new items. Some producers have additional requirements, which will be automatically added when you permit them to access your data.
  7. Review Data- Simply a review of what you have entered.
  8. Publish Data - This is where an executive of the company agrees to publish the data. A corporate officer (owner, director of the board, or executive officer) must sign off on the data, even if someone else has entered it. This person is legally accountable for company policies. Managers are not acceptable. If you do not publish your data, it is not available to employers. If you have a full contractor membership, the Registry will review the data and contact you with deficiencies and recommendations.
